Nestled in the heart of Central Serengeti amid wide-open plains, our Lodge is just a 45-minute drive from the Seronera Airstrip, accessible by connecting flights from three main airports within Tanzania. This beautiful lodge opened under the Four Seasons Hotels and Resorts family in December 2012, and has 77 rooms including 12 suites and 5 villas, 3 stunning Food and Beverage venues, our unique Discovery Centre offering an interactive experience where you can learn about the wildlife, history and people of the Serengeti, Kijana Kids Club, a spa with 6 free-standing treatment pavilions offering bespoke rituals and treatments that celebrate Africa’s magic and mystique, fitness center and a dedicated team bringing your magical wildlife safaris experiences to life.
BASIC PURPOSE: To assist the Director of People and Culture with the direction of all aspects of the People and Culture division including benefits administration, employee relations, recruitment and retention of staff, communication to staff, career development of staff, wage & hour compliance, training, workers’ compensation and legal matters related to Lodge employees.
ESSENTIAL FUNCTIONS:
- Reports to shift on time. Is aware of schedule at all times and if unable to attend work, notifies the Manager in adequate time.
- Conducts self in a professional manner at all times. Adheres to the established standard of conduct and house rules, fire regulations, and department procedures and policies. Act as an objective 3rd party in employee counseling, problem solving conflict situations and communicate to Director of People and Culture any circumstances that may raise legal issues for the Lodge
- Identify, analyze and initiate appropriate actions to resolve any unsatisfactory pattern of employee turnover.
- Manage the financial issues for the P&C budget including benefits, labor & salary reports and plan cost effective events within the P&C budget guidelines.
- Conduct regular audits of insurance records, work authorization records, leave and sick allowances.
- Maintain employment files and other records personally and through delegation in a detailed manner on paper and in the Workday.
- Comply with and enforce Four Seasons’ Category One and Category Two Work Rules and Standards of Conduct as set forth in Employee handbook.
- Work harmoniously and professionally with co-workers and supervisors while maintaining the confidentiality of People and Culture.
- Administer and train employees on behalf of People and Culture including but not limited to Embark, benefits, core and culture standards.
- Recruitment interviews, coordinating interviews with other Managers, preparing offer letter to suitable candidates using BBI.
- Responsible for Managing recruitment process and job portals
- Represent the lodge in employee disciplinary procedures (Hearings) and any labour cases.
- Responsible for ensuring all work and residence permits are in place.
- Ensuring of department job descriptions are maintained and updated.
- Responsible for managing, coordinating & organizing all employees recognition programs e,g “EOM, MOQ, Birthdays, Honesty, Anniversaries”.
- Responsible for managing, coordinating & organizing all employees communications activities e,g “Direct Line meeting for Line & Managers, Updating Employees Notice Boards and Facebook (Jambo Serengeti) .
- Responsible for organizing all Employee Amenities for “New Babies and Sympathy and Birthdays cupcake
- Responsible for following up on the Employees on Sick, Maternity, injury or compassionate Leave to ensure communicating to PC the updates of their status.
- Overseeing the Employee Accommodations – Inspect the accommodation units on a regular basis, Check the rooms for new arrivals and Employee’s Visitor and organize amenities and welcome letters. Advise Accommodation or Engineering of any issues.
- Ensure the safety, cleanliness and food quality of the Cafeteria, Recreation, Cyber Cafe (computers are working) and Gym, report out of order issues to Accommodation or Engineering. Issues with food quality should be highlighted when noticed.
- Check with Clinic on sick calls and organize meal delivery, see if employee needs to go to the hospital – if it is a serious matter, inform the P&C Director to decide on the appropriate action. Responsible for supervising & coordinating SABA SABA accommodation in Arusha for employees there overnight on to way to / from The Lodge.
- Handle and follow up on any medical emergency in Accommodations.
- Oversees the Perfect room program and maintains accommodation Policies & Procedures by ensuring they are updated and in all Employee Housing.
- Attend the P&C Departmental Meeting, Direct Line, Safety Meeting, Boo Meeting.
- Respond to any requests from the Direct Line meetings and also any Safety Concerns from the Safety Meeting.
- Carry out any assigned other duties/responsibilities as required by People and Culture Director.
NON-ESSENTIAL FUNCTIONS:
- Organize and supervise all employee recreation programs include parties, general meetings, employee relations events, etc.
- Respond to and attend any related hearings for all employee claims against the Lodge including Workers’ Compensation, Unemployment, Department of Labor and Wage & Hour concerns.
- Actively support the Lodge Committees (incl. Safety, Green, Cafeteria, etc).
- Ensure that the cafeteria, employee entrance and Accommodation areas are clean and orderly.
- Perform any other duties as assigned by Management.
- May be required to temporary relocate to Arusha logistics office to help.
KNOWLEDGE AND SKILLS:
Education: Bachelor’s degree in human resource Managment or any related field
Experience: Experience required by position is from two to four years of employment in a related position with Four Seasons or other organization.
Skills and Abilities: Requires a general working knowledge of Labor laws.
Working knowledge is generally learned on-the-Job or through a series of professional certifications.
Requires knowledge of the ability to operate computer equipment.
Ability to read and speak and write English.
