PURPOSE OF THE ROLE:
The role exists to maintain organized and updated documents for Geita Gold Mining Ltd (GGML) ensuring compliance with company standards and regulatory requirements. The role is also responsible for records management including maintaining physical data and documents digitization i.e. converting company physical data into a virtual format using available software to enable the company keep track of documents in a clear, secure, and collaborative way.
QUALIFICATIONS:
Ordinary Diploma or Higher in Records Management / Library, Archives and Documentation studies / Project Management / Computer Science / Information Technology / Business Administration or any other relevant field of study.
Advanced Secondary Education / Vocational qualification or training in secretarial or administrative duties backed with substantial work experience and competencies on document control and records management.
EXPERIENCE:
3 to 5 years’ work experience as a Senior Document Controller or similar role in the fields of documents control and/or records management.
Experience in designing, developing, managing, or implementing document control or similar clerical systems is highly desirable.
Experience in designing, operating, or updating internet or intranet sites is highly desirable.
Strong capability in MS Office software and computer networks is essential.
MAIN OR KEY ACCOUNTABILITIES:
Maintain and administer GGML document control system that complies with company Document Control and Records Management Procedure.
Provide specialist support and guidance departmental managers and document assistants on document control requirements.
Work with departmental managers, Human Resources and Legal teams to review and update company policies, standards, procedures, etc.
Work with departmental managers to create, publish and communicate document templates for various purposes.
Work with departmental document assistants to review and update technical documents e.g. standard operating procedures (SOP’s), project documents, manuals, workflows, etc.
In close liaisons with departmental documents assistants, ensure proper filing of documents in physical and digital records.
Facilitate speedy and secure retrieval of files and other documents as requested by authorised personnel.
Maintain updated registers of controlled documents and their status, control changes to documents and prevent unauthorized change and, manage the flow of documentation within the organization and coordinate periodic review of controlled documents.
Manage storage and access to controlled documents using available technology, with particular focus on network folders and intranet.
Work with the Digital Technology team to facilitate access to controlled documents to authorised personnel to ensure confidentiality around sensitive information.
Work with the Communications team to communicate published documents to internal teams.
Train and coach departmental managers, document assistants, and other employees on the use of company Document Kiosk, SharePoint and other digital platforms.
Supervise the document digitization project and the project team including project resources and timelines, ensuring it achieves the desired outcomes.
Prepare ad-hoc reports on company documents and record management as required.
Continuously monitor compliance with the GGML Document Control and Records Management Procedure by GGML departments and personnel
Conduct regular audits on compliance to GGML Document control & Records Management procedure and advise management accordingly.
ADDITIONAL REQUIREMENT:
Hands-on experience with MS Office software
Knowledge of Electronic Document Management Systems (EDMS)
Proficient in SharePoint and / or other document management software and web-based tools
Proficient typing and editing skills.
Experience in designing, developing, managing, or implementing document control systems or similar – added advantage.
Experience in designing, operating, or updating internet or intranet sites – added advantage.
Conversant with Tanzania Library and Archives Protocols
A good Understand of record management and its protocols.
